2. Legal Bases for Data Processing
We process your data solely on the basis of the legal provisions (in particular Art. 6 para. 1 lit. a, b and f GDPR):
- Performance of contract (Art. 6 para. 1 lit. b GDPR): For providing our IT services and managing customer relationships.
- Consent (Art. 6 para. 1 lit. a GDPR): For sending our newsletter (double opt-in).
- Legitimate interest (Art. 6 para. 1 lit. f GDPR): For IT security, web analytics, and operation of the website.
3. Data Collected and Purposes
We only process data from business customers (B2B). The following data is collected and processed:
- Network and IT infrastructure data: Documentation of customer networks and IT systems for contract performance. No further processing for other purposes.
- Newsletter registration: Email address for sending information and offers (after double opt-in).
- Web analytics: Anonymized usage data (e.g., pages visited, truncated IP address) to improve our services.
- Server logs: Technical logs to ensure operation and security of the website.
4. Newsletter (Double Opt-In & Withdrawal)
You can register for our newsletter on our website. After registering, you will receive a confirmation email (double opt-in). Only after your confirmation will your email address be stored and used for sending the newsletter. You can unsubscribe at any time via the link in each email or by emailing support@fivo-it.at. After unsubscribing, your email address will be deleted immediately.
We use Odoo Email Marketing for sending and tracking (e.g., open and click rates via tracking pixels and link tracking).
5. Web Analytics & Cookies
Our website uses Google Analytics (with IP anonymization, data processing exclusively in the EU) to analyze usage. The legal basis is our legitimate interest in improving our services. You can object to the analysis at any time (see opt-out below).
To protect the newsletter form from abuse, we use Google reCAPTCHA v3. This serves IT security and prevents automated registrations.

6. Hosting & Processors
Our web application is hosted by Scalingo in Paris (France) (ISO 27001, HDS, GDPR-compliant). For ERP, CRM, and email marketing, we use Odoo Online with servers in France and Belgium. Data processing agreements have been concluded with all service providers in accordance with Art. 28 GDPR.
7. Data Retention
- Customer data and newsletter addresses: For the duration of the business relationship, deleted immediately after termination.
- Google Analytics data: 14 months (default setting).
- Server logs: 12 months to ensure IT security.
8. Security
Your data is protected by technical and organizational measures:
- SSL encryption for all data transmissions
- Hosting in certified data centers (ISO 27001, HDS)
- Access controls and authorization concepts
- Regular security audits
9. International Data Transfers
No personal data is transferred to countries outside the European Union (EU) or the European Economic Area (EEA).
10. Data Subject Rights
Under the GDPR, you have the right to access, rectify, erase, restrict processing, data portability, and object to the processing of your data. Please send your request to support@fivo-it.at.
